Automate Impact (“AutomateImpact.org”, “we”, “our”, or “us”) is committed to protecting the privacy, security, and integrity of the organizations we serve. We provide AI-powered automation, data integration, custom GPT systems, dashboards, and consulting services designed for mission-driven organizations. Our work often involves sensitive operational, programmatic, or donor data, and we treat that responsibility with the highest standards of care.

This Privacy Policy explains how we collect, use, protect, and handle your information when you use our website, services, tools, or engage with us as a client or prospective client.

1. Who We Are

Automate Impact is a tech-for-good hybrid consultancy focused on nonprofit operations. We deliver automation systems, AI-enabled workflows, dashboards, internal GPTs, and data cleaning services for mission-driven organizations.

Because we operate in the nonprofit ecosystem, we maintain strict confidentiality and align with the sector’s expectations around ethics, compliance, and responsible data stewardship.

2. Information We Collect

We collect information in three primary categories:

2.1 Information You Provide to Us

When you engage with Automate Impact, you may voluntarily provide:

  • Organization information (name, mission, programs, size, budget)
  • Contact details (your name, email, phone number)
  • Operational documents needed for automation work
  • Grant documents, donor files, financial summaries, policies, program data
  • Files uploaded for GPT training or dashboard integration
  • Survey responses, feedback, or intake forms
  • Billing and payment information for contracted services

This includes the documents we require for data cleaning, reporting automation, dashboard building, or GPT customization.

2.2 Automatically Collected Information

When you visit our website or interact with our tools, we may collect:

  • IP address
  • Device type
  • Browser type
  • Usage data
  • Pages visited
  • Referring/exit pages
  • Interaction patterns

We use this information to improve website performance and user experience.

2.3 Information Collected Through Integrations

For clients who authorize integrations (e.g., Google Drive, QuickBooks, CRMs, donor platforms), we may temporarily access:

  • Documents you choose to connect
  • Program, donor, or financial datasets you grant permission to
  • Calendar metadata (for scheduling automation)
  • Other third-party system data relevant to the contracted solution

We never access external systems without explicit client authorization.

3. How We Use Your Information

We use your information to deliver the services you request, including:

  • Building dashboards and automated workflows
  • Training custom AI models or internal GPTs
  • Cleaning and preparing operational or programmatic data
  • Setting up integrations with your authorized systems
  • Providing consulting, support, and training
  • Enhancing, improving, and optimizing your tools
  • Communicating about project updates, invoicing, or support
  • Sending educational or marketing content (opt-out anytime)

Everything we build is designed to improve nonprofit operations, reduce manual work, and strengthen mission capacity.

We do not sell personal or organizational data — ever.

4. Data Confidentiality & Security

Nonprofit data often contains sensitive program, donor, staff, or financial information. Treating this data with strict confidentiality is core to how we operate.

We apply the following safeguards:

  • Encrypted storage for all client files
  • Role-based internal access controls
  • Secure transfer protocols for all documents
  • No training of external or public AI models on client data
  • Use of reputable, enterprise-grade cloud tools (OpenAI, Google Workspace, etc.)
  • Deletion or return of client data upon request

We do not use client datasets to train Automate Impact’s general AI systems. Custom GPTs or automation tools are trained exclusively on the client's own materials.

5. How We Share Information

We may share information only in the following circumstances:

5.1 With Your Explicit Authorization

For example:

  • Connecting your Google Drive, QuickBooks, or CRM
  • Setting up an internal GPT that reads your policies or grant documents
  • Collaborating with your fiscal sponsor or foundation when funding requires reporting

5.2 With Third-Party Service Providers

Companies that help us deliver services, such as:

  • Cloud hosting providers
  • AI model providers (e.g., OpenAI)
  • Integration tools (e.g., n8n or equivalent)
  • Payment processors

These providers process data only under strict confidentiality and security obligations.

5.3 If Required by Law

We may disclose information in response to legal requests, subpoenas, or compliance requirements.

We never sell, rent, or trade user or organizational data.

6. How Client Data Is Handled During Projects

Because Automate Impact builds dashboards, automations, and internal GPTs tailored to your workflows, client data may be temporarily used to:

  • Structure datasets
  • Clean and deduplicate information
  • Train custom AI tools
  • Validate dashboard accuracy
  • Create reporting automations

Once the project concludes, clients may request:

  • Full deletion of data
  • Export of all automation assets

We retain only what is legally or contractually required.
